PUBLIC PROGRAME MANAGER (MATERNITY COVER)
Reporting to: Head of Public Education and Safeguarding
Contract: 1 year Fixed-Term (Maternity Cover)
Hours: Part-time: 4 days per week
09.30am to 6.30pm during term time and 09.30 to 5.30pm out of term time.

Overall job purpose
The PP Manager supports the Head of Public Education and Safeguarding in delivering a varied, high quality and accessible Public Programme of drawing courses for adults. The Public Programme (PP) Manager is responsible for the day-to-day management of an innovative and well organised Public Programmeoffice and the day-to-day delivery of its courses and studios, both in-person and online. The PP Manager serves as a point of contact for tutors, students and models at the School, providing informative, helpful and friendly support to all that work or study within the department. In doing so, the PP Manager ensures high level of student, tutor and model satisfaction as well as efficient and effective programme administration.
Public Programme Management
• Works closely with the Head of Public Education and Safeguarding to ensure the programme fulfils the School’s artistic and academic vision and standards
• Provides a supportive environment for tutors and models, working closely with them to resolve any issues and ensure they are well informed and supported
• Ensure courses are managed and administered effectively and efficiently with high level of student satisfaction
• Responsible for the creation and management of the PP team rota and oversees the team and their day-to-day tasks, ensuring they have the training and resources required to do their role effectively.
• Work closely with the Head of Public Education and Safeguarding to help ensure termly and annual targets are met and the programme operates within budget.
• Provide recommendations and analysis on termly and holiday courses for the purposes of programming
• Manage the programming of the First Thursday’s events in collaboration with the Marketing Team
• Evaluate and suggest areas for administrative, booking or studio improvements
• Work closely with the technical teams to ensure the studios are well stocked, maintained and presented, and tutors, models and students receive high-quality experience
• Help ensure all School’s policies are adhered to, especially those on Safeguarding Vulnerable Adults, Safeguarding Children, GDPR, and Health & Safety; offering constructive guidance and reporting and escalating as necessary.
In Person Public Courses
• Manage all term-time and holiday in-person Public Courses, both on and away from School premises.
• Deliver with the team, the Health & Safety talks given at the start of each course
• Collate and review feedback from our termly student surveys
• Monitor and report course bookings and attendance to regularly update the Head of Public Education and Safeguarding
• Oversee the content and distribution of fact sheets for students taking out-of-house classes
• Oversee the team’s process of taking bookings and student payments
Online Courses
• Manage the team on the day-to-day delivery of the School’s online courses, digital accounts (eg Zoom) and visual communication interface (eg Padlet).
• Oversee the team’s creation of digital Meetings for all online courses.
• Liaise with tutors to create Online Material lists and oversee the sending of joining instructions to students in advance of the courses.
• Deliver with the team, welcome talks to be given at the start of each online course.
• Oversee the team’s liaison with tutors teaching online to help with technical issues on a regular basis.
• Assist the Head of Public Education and Safeguarding on tutor training for new tutors or tutors who may need additional support/refresher training for working online.
• Create, edit and update Online Course Student Handbooks, Online Course Guides and visual communication interface (eg Padlet) Guides
Drawing Intensive and Development Programme
• Manage the delivery of the programme: ensure the team are working with students to choose their courses, book students on to courses, managing the in-take of payments and ensuring students fill in correct paperwork
• Responsible for updating Student Handbook as and when required and that it is distributed to the students before the start of term
• Oversee the calendar of tutorials and mentoring sessions for students throughout the term
• Manage the booking in of the alumni and senior faculty members for tutorials and mentoring sessions
Bespoke Courses Programme
• Assist the Head of Public Education and Safeguarding in the design and delivery of Bespoke Courses
• Main lead for all bespoke enquiries
Self-employed tutors and artist models
• Oversee the management of a cohort of self-employed models alongside the programme coordinator and administrators
• Manage and delegate the termly mail-out of dates and information to models
• Work with the Head of Public Education and Safeguarding to liaise with tutors to agree courses and teaching dates, ensuring needs and requirements are met for each individual course
• Oversee the team in assisting tutors in securing external venues for out-of-house classes and booking more unusual models/subjects for classes
• Ensure that engagements are made in accordance with the School’s policies for tutors and models
• Alongside the team, find replacement tutors and models to cover at short (or no) notice in the event of absences through sickness and other circumstances
• Ensure that relevant School policies and procedures are adhered to by all tutors and models especially Vulnerable Adult Safeguarding, Child Safeguarding, GDPR and Health & Safety
Student Liaison
• Utilise in-depth course knowledge to train staff and help guide students onto appropriate courses
• Ensure a high level of customer service in all areas of interaction between the School and students attending Public Courses
• Act as a point of contact for the public, answering queries from new and existing students, advising on course choices in relation to their individual needs and expectations
• Resolve queries and complaints from students attending Public Courses in the first instance, escalating to the Head of Public Education and Safeguarding or Director where appropriate.
• Show potential tutors/students/funders around the school, providing information about the programme and studios when required.
Online Booking and Website
• Manage the teams uploading of new course and event information to the website, ensuring that all course content and event details are up-to-date and accurate
• Feed in ideas and collate user feedback to develop and improve the website and booking system
• Oversee all online booking system support issues
Finance and Budgeting
• Provide accurate and regular analysis of programme bookings, student profiles and revenue
• Compile and authorise model payment schedules in accordance with the Schools financial procedures
• Compile tutor payment schedules in accordance with the Schools financial procedures for Head of’s authorisation.
• Oversee the collection and secure handling of money from sales of materials and course bookings
• Ensure that daily reports from the PDQ are taken
Marketing
• Provide recommendations following analysis on market research and student feedback to the Head of Public Education and Safeguarding
• Assist in implementing the Public Programme marketing strategy
• Feed in material for the School’s social media campaign
• Oversee the team in ensuring the contact database for Public Courses is always accurate and up to date
General
• Actively promote the School as required
• Maintain a high level of awareness of all School programmes and work collaboratively with colleagues in support of the overall strategic aims of the School
• Maintain the catalogue and organisation of the School’s library of books
• Provide information and data to the Head of Public Education and Safeguarding to feed into termly Academic Board reports
• Ensure departmental KPIs are delivered, working collectively towards the School’s agreed five-year plan as set out by the Director, Founding Artistic Director and Board of Trustees
• Positively contribute to and help deliver the School’s Equality, Diversity and Inclusion Action Plan
• Any other duties as designated by the Board and commensurate with the post
Person Specification Experience
• Minimum 2-3years’ experience in an education administration environment within an art school
• An understanding of artist’ needs, practise and materials (from first-hand experience or from working with artists
• Proven experience of marketing and selling educational products
• Proven ability to manage budgets
• Management experience
• Experience of using database systems and booking systems (experience of Booking Live, HubSpot or Sage products is desirable)
Skills & Qualifications
• Good knowledge and CMS functionality
• Advanced Microsoft Office, and Intermediate Excel
• Excellent customer service skills and experience
• Flexible, diplomatic and adaptable approach
• Enthusiastic and hardworking with attention to detail
• Self-starter, very proactive

• Understanding of the needs of art school students and tutors
